How to Make It Happen
Step 1: Acknowledge reality — out loud
Don’t freeze or try to fake it. The moment something unexpected happens, name it. A simple “Well, that didn’t go as planned!” immediately breaks the tension. Facilitators who acknowledge reality earn more trust than those who plough on as if nothing happened.
Step 2: Reframe it as part of the adventure
The single most powerful phrase in the moment is: “Let’s see where this takes us.” It signals confidence, openness, and curiosity — all at once. Participants take their emotional cue from you. If you’re relaxed and even curious about the detour, they will be too.
Step 3: Hold your plan loosely
Most workshop disasters only feel catastrophic in the moment. In reality, a broken piece of equipment, a no-show, or a completely unexpected conversation is rarely a disaster — it’s just a diversion. The facilitators who handle these moments best treat their plan as a guide, not a script.
Step 4: Let the unexpected become part of the story
Some of the most memorable workshop moments come from things that went sideways. When you lean into the unexpected rather than fighting it, you often discover something more valuable than what you originally planned. Debrief what happened openly — it turns a hiccup into a learning opportunity for everyone.
